About this toolWhat is the Invoice Generator?
Type who the invoice is from and who it is for, add your line items, and download a finished PDF invoice. The preview on the right updates as you type, so you can see the subtotal, discount, tax and balance due before you print anything. Add your logo and pick an accent colour and the PDF follows your branding.
The arithmetic is done in whole cents (or pence, or yen) so the lines always add up to the total on the page. Tax can be added on top of the prices, the usual way for US sales tax, or extracted from prices that already include it, the usual way for consumer prices with VAT or GST. Each line can carry its own rate, which covers zero-rated or exempt items on the same invoice.
Nothing leaves your computer. The PDF is drawn in your browser with the jsPDF library and the draft is kept in this browser's local storage, so you can close the tab and finish later. The Next invoice button bumps the number (INV-0041 becomes INV-0042) and clears the client and lines for the next job.

How to use the Invoice Generator
- Fill in your business details in From and the customer's details in Bill to. Add a Ship to address only if goods go somewhere else.
- Set the invoice number, issue date and payment terms. The due date follows the terms; type a date to override it.
- Add a line for each product or service with a quantity and unit price. Hours can be fractional, such as 12.5.
- Choose the currency, name the tax (Sales tax, VAT, GST) and set the default rate. Give a line its own rate if it differs, or 0 for exempt items.
- Add a discount as a percentage or fixed amount, shipping, and any deposit already paid, then click Download PDF.
Worked examples
Design project with 8% sales tax
Input
1 x 2,400 design, 12.5 h x 95 development, 12 x 15 hosting; tax 8%; no discount
Output
Subtotal $3,767.50, tax $301.40, total $4,068.90
12.5 x 95 = 1,187.50 and 12 x 15 = 180, so the subtotal is 2,400 + 1,187.50 + 180 = 3,767.50. Tax is 8% of that, rounded to the cent.
10% discount before tax
Input
2 x 1,500 and 10 x 85, discount 10%, tax 8.25%, shipping 25
Output
Subtotal $3,850.00, discount -$385.00, tax $285.86, total $3,775.86
The discount comes off first, so tax is charged on 3,465.00. Shipping is added after tax and is not taxed.
Prices that already include 20% VAT
Input
Course 120 incl. VAT at 20%, book 12 at 0%
Output
Total £132.00, of which VAT £20.00
For a VAT-inclusive price the tax is price x rate / (1 + rate): 120 x 0.2 / 1.2 = 20. The zero-rated book adds no VAT.
Deposit already paid
Input
Total $3,775.86, already paid $1,000
Output
Balance due $2,775.86
The deposit is shown under the total and the balance due is printed in bold so the customer pays the right amount.
Background and insight
An invoice is a request for payment that also serves as a tax record for both sides. Most tax authorities set out what it must show. In the UK, HMRC's guidance on VAT invoices requires a unique sequential number, the invoice date, the time of supply if different, your name, address and VAT number, the customer's name and address, a description of what was supplied, the quantity and unit price excluding VAT, the VAT rate and the total VAT. The EU VAT Directive (2006/112/EC, Article 226) sets a similar list for member states. In the United States there is no federal invoice format; sales tax is set by states and local governments, so the invoice should show taxable and non-taxable items and the tax charged where your state requires it.
Payment terms tell the customer when the money is due. Net 30 means the full amount is due 30 days after the invoice date; due on receipt means straight away. Some businesses offer an early-payment discount written as 2/10 net 30: 2% off if paid within 10 days, otherwise the full amount in 30. The calculator sets the due date from the terms you pick, and you can override it with any date.
Rounding causes more invoice disputes than anything else. This tool rounds each line to the currency's minor unit, applies an invoice-level discount before tax and shares it across lines in proportion to their value, then computes tax once per rate on the discounted total for that rate. That matches how most accounting packages print a tax summary and avoids a total that is a cent away from the sum of its parts. Currencies without minor units such as the Japanese yen are rounded to whole units, and three-decimal currencies such as the Kuwaiti dinar keep three decimals.

Tips and limitations
- Keep invoice numbers unique and in sequence. Gaps or repeats raise questions in an audit; a prefix with the year (2026-001) makes the sequence easy to restart each year.
- Check what your tax authority requires before you send the first one. A VAT or GST invoice usually needs your registration number in the From block.
- The built-in PDF fonts cover Western European characters. Letters outside that set (for example Cyrillic, Greek or CJK names) print as question marks, and currencies whose symbol the font lacks, such as the rupee, are shown with their code (INR).
- The draft lives in this browser only. Clearing site data or using a private window removes it, so download the PDF for your records.
- This tool does not send invoices, track payments or file tax returns. Use it to produce the document; keep your own register of what was sent and paid.
Frequently asked questions
What does Net 30 mean on an invoice?
Payment is due 30 days after the invoice date. Net 15 and Net 60 work the same way. Pick the terms and the due date fills in; you can type a different date if you agreed one.
Is the discount applied before or after tax?
Before tax. A trade or promotional discount reduces the price of the goods, so tax is charged on the discounted amount. Shipping is added after tax and is not taxed in this tool.
How do I show VAT when my prices already include it?
Turn on Prices already include tax. The invoice total stays the same and the tax is worked out as price x rate / (1 + rate), so a 120 price at 20% contains 20 of VAT.
Can one invoice have different tax rates?
Yes. Leave a line blank to use the default rate, or type a rate for that line, for example 0 for an exempt item. The totals show the tax for each rate separately.
Is my invoice data uploaded anywhere?
No. The PDF is generated in your browser and the draft is saved in local storage on this device only. Nothing is sent to a server.
Why does my currency symbol show as a code in the PDF?
The standard PDF fonts only contain Western European characters. Symbols they cannot draw, such as the rupee or won sign, are replaced by the ISO code so the amount is never wrong.
How should I number my invoices?
Use a unique, sequential number. Common formats are INV-0001, 2026-001 or a client prefix plus a sequence. The Next invoice button increases the last group of digits and keeps the zero padding.
Is there an in-depth guide to the Invoice Generator?
Yes. “How to Write an Invoice: Fields, Tax, Discounts and Terms” covers the background, how it works, common pitfalls and worked examples. Read the full guide.
