About this toolWhat is AI Prompts for Restaurant Operators?
Running a restaurant means writing between services: menu descriptions for a new dish, replies to reviews, a rota for next week, a supplier email about a short delivery, a post for tonight's special, a job ad for a line cook. This kit gives owners and managers nine prompt templates for that work, so the writing takes minutes instead of eating into prep time.
Fill in the dish, the review, the cover forecast or the prices, choose a tone, and copy a prompt that keeps the model honest: menu text that only mentions ingredients you list, review replies that never invent facts or offer compensation you did not approve, and food cost workings shown line by line so you can check them. The page runs in your browser and nothing is sent.
- Nine templates for menus, reviews, rotas, food cost, allergens, specials, hiring, suppliers and opening checks
- Allergen prompts that only use the allergens you confirm
- Food cost working shown per ingredient with units
- Review replies with no invented facts or unapproved offers
- Favourites saved in your browser and a Markdown copy for your managers

How to use AI Prompts for Restaurant Operators

- Copy the prompt into any AI assistant and choose the best version.
- Check allergens against recipes, recompute numbers, and make sure the rota meets labour rules before publishing.
Worked examples
Reply to a two-star review
Input
Review complaining about a 40-minute wait for mains on a Saturday, your note that two chefs were off sick
Output
Short, warm reply that apologises, explains briefly without excuses and invites them back
The prompt tells the model not to offer refunds or vouchers unless you list them, so the public reply never promises more than you will give.
Food cost for a new pasta dish
Input
Ingredient quantities per portion and purchase prices, target food cost 28%
Output
Cost per portion table, food cost at the proposed price and the price needed to hit 28%
Check the unit conversions in the table. Kilograms versus grams is where most spreadsheet and model errors come from.
Background and insight
Allergen information is the one area where an AI draft can hurt someone. In the US, the FASTER Act made sesame the ninth major food allergen from 1 January 2023, alongside milk, eggs, fish, crustacean shellfish, tree nuts, peanuts, wheat and soybeans. The UK requires food businesses to provide information on 14 allergens. The allergen notice template only formats the allergens you confirm from recipes and supplier specifications; it is told never to infer them from a dish name, because a model guessing that a pesto has no nuts is exactly the error to avoid.
Reviews have rules too. The FTC's Trade Regulation Rule on the Use of Consumer Reviews and Testimonials (16 CFR Part 465), in force since 21 October 2024, prohibits fake reviews, including reviews attributed to people who do not exist, so this kit writes replies to genuine reviews and nothing else. Replies work best when they thank the guest, address the specific point, avoid arguing and move details offline.
Food cost checks are arithmetic, which models can get wrong while sounding sure. The template asks for each ingredient's cost per portion with units, the total, the food cost percentage and the menu price needed for your target, and you should recompute the key lines in a spreadsheet or a margin calculator.
Common use cases
Menus and specials
Write menu descriptions and daily specials posts that sound like your kitchen and only list real ingredients.
Reputation
Reply to good and bad reviews quickly with a consistent, human tone.
Operations
Draft staff schedules from availability and forecasts, opening checklists and supplier emails.
Margins and hiring
Check food cost per plate against a target and write job ads that describe the real shifts and pay.
Tips and limitations
- Confirm every allergen from recipes and supplier specs. Never let a model decide what a dish contains.
- Recompute food cost lines and check the menu price against your target margin.
- Schedules must meet local working-time, break and minor employment rules; the draft does not know them.
- Do not use AI to write reviews of your own restaurant. Fake reviews are banned by the FTC rule in the US.
- Keep guest names and booking details out of prompts. A reply does not need them.
Frequently asked questions
Can AI write my menu descriptions?
Yes. Give it the dish, the ingredients and the style of your menu, and it writes short descriptions using only those ingredients. Read them for accuracy, since a description is also a statement about what is in the food.
Can I use AI to work out which allergens are in my dishes?
No. Allergens must come from your recipes and supplier specifications. The allergen template formats a notice from the allergens you confirm, covering the nine US major allergens or the UK's 14, and tells the model not to guess.
How should I reply to a bad review?
Thank the guest, address the specific complaint, avoid arguing in public and invite them to contact you. The review template drafts that and does not offer compensation unless you list it.
Can the AI build my staff rota?
It can draft one from availability, forecast covers and roles you enter. Check it against labour law, break rules, minor employment rules and fairness before posting.
Is the food cost calculation reliable?
Treat it as a worked draft. Recompute each line, especially unit conversions, or use a margin and markup calculator for the final price.
Does this page store my recipes or prices?
No. Everything stays in your browser tab and is not uploaded. Only your starred templates are saved locally.
